Project Coordinator

Eastern DataComm, LLC

About Eastern DataComm

Since 1988, Eastern DataComm has designed, installed, and supported physical security, life safety, network security, and managed IT solutions for K–12 schools, businesses, and state and local government agencies. From our Hackensack headquarters and offices in New York and North Carolina, our teams deliver emergency notification systems (including our proprietary LENS+OPTICS lockdown solution), video surveillance, access control, VoIP, paging/bell/clock systems, environmental sensors, and wired and wireless networks, working with manufacturers such as Verkada, Mitel, Bogen, Cisco Meraki, HPE Aruba, Fortinet, Brivo, and Milestone. We’re a member of the Security Industry Association and hold cooperative purchasing contracts through NJSBA, ESCNJ, and MOESC.

The Role

The Project Coordinator keeps our installation projects organized from the time a job is sold until it’s closed out. Working with Project Managers, Sales, Purchasing, the Warehouse, and field technicians, you’ll make sure the right equipment, people, and paperwork arrive at the right site at the right time. Much of our work is in school districts, so you’ll often be planning around academic calendars and tight summer installation windows.

What You’ll Do

  • Set up new projects after the sales handoff, including project files, bills of materials, schedules, and kickoff meetings in Tigerpaw
  • Schedule technicians and subcontractors across active jobs, and coordinate site access with district facilities directors, building managers, and municipal contacts
  • Work with Purchasing and the Warehouse to order equipment, track manufacturer lead times, and stage and deliver materials for each job
  • Prepare and track submittals, permit applications, certificates of insurance, and customer-required documentation
  • Support public works projects with prevailing wage and certified payroll paperwork
  • Track change orders, RFIs, and punch lists, and keep project records current
  • Coordinate manufacturer license activations and cloud platform registrations (e.g., Verkada, Brivo) at project handoff
  • Send regular status updates to Project Managers and customers, and flag schedule or material risks early
  • Assemble closeout packages, including as-builts, warranty information, O&M manuals, and training sign-offs
  • Coordinate progress billing milestones with Accounting
  • Maintain project KPIs and reports for operations leadership

What You Bring

  • 2+ years of project coordination experience, preferably in low-voltage, security integration, telecommunications, construction, or IT services
  • Strong organization and follow-through across multiple projects with competing deadlines
  • Clear, professional communication with customers, field staff, and vendors
  • Proficiency in Microsoft Office, especially Excel and Outlook
  • Ability to read basic floor plans and project drawings (preferred)
  • Experience with Tigerpaw or a similar PSA or project management platform (preferred)
  • Familiarity with public sector, K–12, or prevailing wage projects (a plus)
  • Valid driver’s license for occasional site visits
